SUMMARY
We are seeking a detail-oriented, organized, and proactive Temporary Part-Time Event Support Associate to assist with the planning and execution of our 55th Anniversary Fundraising Gala. Reporting to the Director of Community Engagement & External Affairs, this position provides essential support for event planning, logistics, donor engagement, data management, and fundraising campaign follow-through to help ensure the success of our signature fundraising luncheon.
The ideal candidate is highly organized, able to manage multiple priorities in a fast-paced environment and enjoys coordinating the many details that contribute to a successful event. This individual should possess excellent communication and customer service skills, maintain a high level of professionalism, and be committed to supporting Peace Over Violence's mission of building healthy relationships, families, and communities free from sexual, domestic, and interpersonal violence.
RESPONSIBILITIES & DUTIES
Set up, manage, and maintain the event ticketing and seating portal in Givesmart Events, ensuring accuracy and ease of use.
Track and monitor incoming ticket sales, seating assignments, and attendee updates.
Run regular ticketing and sales reports and issue electronic receipts to purchasers.
Supervise guest registration and check-in on the day of the event.
SPONSOR & DONOR ENGAGEMENT
Assist with sponsor outreach, follow-up communication, and stewardship.
Work with team to schedule and coordinate outgoing communications with sponsors, table hosts, and ticket holders.
Support raffle donation solicitation, including tracking donations, drafting descriptions, and managing raffle ticket sales.
CAMPAIGN SUPPORT & FOLLOW-UP
Assist with closing out the fundraising campaign, including outstanding pledge follow-ups and additional thank-you communications.
Maintain organized records of donor interactions, ticketing data, and event-related documentation.
QUALIFICATIONS
Must have +2 years of event planning experience
Must be proficient and comfortable around computers and other forms of technology
Ability to handle multiple tasks at one time
Good social, organizational and diplomacy skills
Ability to work in a fast paced, high production environment
Ability to get along well with a diverse group of people as a team member and to feel comfortable working with diverse communities
Ability to write and speak clearly and accurately, with confidence
Comfort with digital platforms for ticketing, reporting, and donor communication
Event or fundraising experience preferred but not required.
