$25.00 - $27.00 hourly

Summary
Peace Over Violence is a non-profit organization committed to building healthy relationships, families, and communities free from sexual domestic and interpersonal violence. The administrative assistance assists with the day to day operations of the Pasadena Office by doing task such answering phones, screening calls, filing, preparing documents, assist in the coordination of meetings and other events on site, managing calendar for room scheduling, maintaining inventory and ordering office supplies, and provide crisis intervention support / triage services to survivors of sexual and domestic violence.

The ideal candidate must have excellent organizational skills, detail oriented, also extremely personable and have strong communication skills. Must be willing to work in a diverse environment, working with POV employees and the West San Gabriel Valley community. Candidate must have experience managing a wide range of administrative task and be able to work independently. We are looking for a candidate who is comfortable working with victims of trauma, supportive and helpful to program staff.


Responsibilities and Duties

  • Respond to the administrative and clerical needs of the staff

  • Direct Front office reception:

    • Provide reception and address the needs of clients and guests

    • Answering phones and greet all POV guest

    • Screen calls and direct callers to the appropriate staff person or program

    • Sign-in and direct clients to proper personnel

    • Supervise children’s visitors during client appointments

    • Keep area presentable

  • Effectively organize and coordinate office operations and procedures in order to ensure organizational efficiency

  • Procure and stock office materials as needed; manage inventory

  • Troubleshoot problems with phone, computers, copy machine, etc. and ensure on-

  • going maintenance of equipment

  • Implement and maintain office protocols

  • Assist with electronics, Audio/Visual and Information Technology maintenance and need

  • Sorting letters, packages and e-mails to appropriate department or personnel

  • Compose, proofread, and edit internal and external correspondence

  • Maintain the cleanliness of other office common areas: kitchen, conference room, counseling room, reception, etc.

  • Assist with the submission of program reports

  • Assist with any other office needs on site, including sorting mail, accepting deliveries and

  • packages, sending out mail or email correspondence, data entry,

  • Providing triage and support for walk in, survivor of individuals who have experienced

  • trauma by connecting them to the right resources and support (internally or externally)

  • Other duties as needed

Qualifications

  • Must have 2 years of Administrative Assistant or Office Reception experience, or a combination of the two

  • Must have or intent to complete POV’s 82 hour crisis counselor advocate training

  • Must be proficient and comfortable around computers and other forms of technology

  • Experience in providing Trauma informed services

  • Ability to handle multiple tasks at one time

  • Good social, organizational and diplomacy skills

  • Ability to work in a fast paced, high production environment

  • Ability to get along well with a diverse group of people as a team member and to feel comfortable working with diverse communities

  • Ability to write and speak clearly and accurately, with confidence

  • Must have a valid California driver's license

  • Bilingual language skills are an advantage
