Peace Over Violence seeks a reliable and responsible Administrative Clerk Assistant who can perform clerical and administrative duties. The ACA reports to the Operations/Human Resources Manager. The ACA assist in administrative and fiscal department by answering phones, greeting clients & guest, confirming appointments, filing paperwork, performing data entry, scanning documents, receive and sort mail, and any other tasks that contribute to the function of the administrative and accounting department. 


  • Administrative

    • Answer phones and greets clients warmly 
    • Provide triage to clients who are in crisis 
    • Communicate with clients, guest, employees, and others to answer questions, explain information of POV services and programs 
    • Operate office equipment, including photocopiers, scanners, telephone and voicemail systems, and computers
    • Maintain updated systems for filing, inventory, mailing, and databases
    • Handle incoming and outgoing office correspondence
    • Prepare meeting agendas; attend meetings to take notes and write minutes
    • Obtain information to respond to requests by reviewing files, documents, and records
    • Take inventory and order materials, supplies, and services as needed
    • Troubleshoot problems that arise with office equipment
    • Assist with filing for other POV programs 
    • Support the reception desk during breaks and meal times 
    • Schedule meetings and conference rooms
  • Fiscal Assistance

    • Assist in filing duties
    • Compile financial records
    • Reroute calls to appropriate people
    • Assist with the preparation of agency audits 
    • Assist with banking transactions, including the collection, counting, and disbursement of money
    • Prepare and mail bills, invoices, checks, and contracts  


  • Proficient in the use of computers, including accounting software, database software, document management software, and Microsoft Office
  • Prior secretarial experience preferred, but not required
  • Strong communication skills; ability to interact productively with supervisors and peers
  • Superb organizational skills
  • Excellent time management
  • High school diploma or equivalent required
  • Must have completed or intended complete POV’s 72-hour Counselor Advocate Training
